1. Who we are
This policy describes how Stockyard Media Haus, LLC ("Stockyard Media Haus," "we," "us") collects, uses, and shares information.
Stockyard Media Haus operates HELIO, a real estate listing and marketing platform, together with its modules (including Launch, Insights, Dwell property sites, Mirage, Connect, and Dispatch).

2. What this policy covers
This policy applies to:
- The HELIO platform and any HELIO-operated subdomain (for example
*.helioai.app) - Property marketing websites and listing pages we host for our customers
- Interactive property tools we publish, including visualizers that let a visitor preview a property furnished, cleared, or renovated
- Our own websites and social media presences
- Our applications that connect to third-party platforms (for example Meta, Google, and CRM systems)
It does not cover the independent privacy practices of our customers (real estate brokerages and agents), the multiple listing services whose data we display, or third-party sites we link to. Where a real estate brokerage or agent uses HELIO to serve their own clients, that brokerage is generally the party responsible for its own client relationships and its own records.
3. Information we collect
3.1 Information you give us
If you are a customer (a brokerage, agent, or team member using HELIO): your name, business email address, phone number, brokerage affiliation, license information where applicable, billing details, account credentials, and any content you upload, including property photographs, floor plans, videos, listing details, documents, and client records you choose to store.
If you are a member of the public using one of our property tools or listing pages: the information you submit in a form. Typically that is your name, email address, and phone number, along with the property you were viewing and, where relevant, preferences you selected (for example a furnishing style or a scope of renovation). If you contact us, we keep the contents of that message.
We do not ask you for, and you should not send us, sensitive information such as government identification numbers, financial account numbers, or health information through these forms.
3.2 Information collected automatically
When you visit our sites we and our service providers may collect: IP address, browser and device type, operating system, referring page, pages viewed, time spent, interactions with page elements (for example which images or options you selected), and approximate location derived from IP address. We use cookies and similar technologies for this. Where required by law, we ask for consent before setting non-essential cookies.
3.3 Information from other sources
- Multiple listing services and IDX feeds. Property records, listing history, and listing media, supplied under license and subject to the rules of the originating MLS.
- Our customers. A brokerage or agent may upload information about their own clients into HELIO. In that case they direct what is stored and why.
- Connected platforms. If you or our customer connects an account (for example Google, a CRM, or a social platform), we receive the information those services make available for the permissions granted.
- Advertising platforms. Aggregate performance data about campaigns we run.
4. How we use information
We use information to:
- Provide, operate, and improve the HELIO platform and the marketing services we deliver
- Create and publish property marketing materials, including photographs, videos, property websites, and AI-generated imagery
- Respond to inquiries and route them to the appropriate agent or brokerage
- Deliver requested materials, such as a set of property images you asked us to send you
- Measure how listings and marketing perform
- Operate, target, and measure advertising
- Maintain security, prevent fraud and abuse, and enforce our terms
- Comply with legal, regulatory, and real estate licensing obligations, including records retention
Legal bases (where the GDPR or similar law applies): performance of a contract, our legitimate interests in operating and marketing our services, consent where we ask for it, and compliance with legal obligations.
5. AI-generated and digitally altered imagery
Some of our tools produce digitally altered images of real properties. This includes virtually staging a vacant room, digitally removing existing furniture or clutter, and rendering exterior or interior improvements.
Our practices:
- Every altered image we publish is visibly labeled as virtually staged, digitally altered, or a concept rendering, with the label rendered into the image itself.
- We do not alter structural or material facts. Walls, windows, doors, rooflines, floors, fixtures, built-ins, and property condition are not changed. Only furniture, decor, clutter, landscaping, and lighting are.
- Unaltered originals are retained so that any published image can be compared against the source.
- Where we digitally remove a seller's furnishings or personal property, we do so with the property owner's authorization.
Altered images are marketing illustrations. They are not a representation of what conveys with a property, and they are not a substitute for inspection.
6. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising in the sense those terms are defined under state privacy laws.
We share information with:
- Our customers. If you submit an inquiry about a property, that inquiry goes to the listing agent or brokerage so they can respond to you. Their use of your information is governed by their own practices.
- Service providers who process data on our behalf, under contract and limited to what they need. These currently include categories such as: cloud hosting and content delivery, customer relationship management and messaging, email delivery, electronic signature, AI model providers used to generate imagery and text, analytics and listing-performance measurement, and voice transcription.
- Advertising and social platforms, where we run or measure campaigns. See section 7.
- Multiple listing services and syndication partners, for listing distribution.
- Professional advisers, and authorities, where required by law, legal process, or to protect rights and safety.
- A successor, in connection with a merger, acquisition, or sale of assets.
7. Advertising, social platforms, and Meta
We maintain business pages and run advertising on third-party platforms including Meta (Facebook and Instagram) and Google.
- We may publish property content to our own and our customers' social pages.
- We may use platform advertising tools to reach audiences and to measure results.
- Where we place a link to one of our property tools in a social post or advertisement, the platform may report aggregate engagement to us.
- Real estate advertising restrictions. Because housing is a protected category, we do not target housing advertising on the basis of race, color, religion, sex, familial status, national origin, disability, or any other protected characteristic, and we use the special ad category controls the platforms provide for housing.
Third-party platforms process data under their own privacy policies, which we do not control.
8. Retention
We keep information for as long as needed for the purposes described here, and then for as long as required by law and by real estate recordkeeping obligations, which in some cases require transaction records to be retained for several years. Marketing inquiry records are kept for the life of the customer relationship and a reasonable period afterward. Unaltered original property photographs are retained for compliance purposes as described in section 5.
9. Your rights and choices
Depending on where you live, you may have the right to: know what personal information we hold, obtain a copy, correct it, delete it, opt out of targeted advertising or sale (we do not sell), and appeal a decision we make about your request. Texas residents have these rights under the Texas Data Privacy and Security Act. Residents of California, Colorado, Virginia, and other states with comprehensive privacy laws have comparable rights, as do individuals in the EEA and UK.
To exercise a right, contact [email protected]. We will verify your request, respond within the period the applicable law requires, and will not discriminate against you for making one. If we deny your request you may appeal by replying to our response.
You can also:
- Set your browser to refuse cookies
- Unsubscribe from marketing email using the link in any message
- Reply STOP to any text message to stop texts
- Ask the agent or brokerage who contacted you to remove you from their own records
10. How to delete your data
If you want your information deleted, email [email protected] with the subject line "Data Deletion Request" and include the email address or phone number you used, and the property or page involved if you know it.
We will confirm receipt, verify the request, and delete the information we control, except where we are required to retain it by law or by real estate recordkeeping obligations. We will tell you what, if anything, we had to keep and why.
If you interacted with us through a social platform, deleting your data with us does not delete data that platform holds. Use that platform's own controls for that.
11. Security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including encryption in transit, access controls, least-privilege credentials, and audit logging. No system is perfectly secure, and we cannot guarantee absolute security.
12. Children
Our services are directed to real estate professionals and to adults searching for property. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
13. International visitors
We operate in the United States and process information here. If you access our services from outside the United States, you are transferring information to a country that may not provide the same level of protection as your own.
14. Changes
We may update this policy. When we do we will change the "Last updated" date, and where changes are material we will provide additional notice.
